Organizing a Flow with Pool and Swimlanes
When building a Flow in 4biz it is a good practice to cherish the organization. In this sense, the use of Pools and Swimlanes help a lot in understanding a diagram.
Pool – Represents the context of the workflow, you can assign a diagram (as a whole) to a group or a person.
Swimlanes – Group tasks by the performer. They are used to apply a global assignment - to interested users/groups. The assignment is applicable to User Tasks and Notifications (email/system).
Before getting started
Define the flow actors and tasks. It is also recommended that the data requested in the "Flow Data" tab be filled in.
Procedure
- Edit a Flow;
- Click on the "Diagram" tab;
- Define the Pool
a. To use a Pool simply click on the "Pool" or "Lane" icon (located in the toolbar). Click, hold and drag it to the drawing area (square space on the right) and double-click to configure it. Click on "Add" to assign the group or user;
- Define Swimlanes for Flow Performers
- To use a Swimlane just hold and drag into the pool already added in the drawing area, containing no limits of Swimlanes within a Pool;
The properties of both a Pool and a Swimlane are composed by:
- Identification
- Name – for identification of the Pool;
- Description – for description;
- Assignment
- Recipient Type – select whether it will be for a specific group or user;
- Assignment Type – define whether the assignment will be for execution or monitoring;
- Group/User – select the group/user;
- Or Expression – search for an expression already registered;
✅ Rule: When performing an assignment in a Resource Pool, the elements will automatically inherit the settings. The hierarchy of assignments is defined as follows: 1. Pool; 2. Swimlanes; 3. User Task and Notifications (E-mail/System); Any assignment performed locally will cause the hierarchical assignment to be "Ignored".
